Minutes of 43rd AGM, 2009

Minutes of 43th A.G.M. of Cape Buccaneers Sports & Social  Club.

At  Hamilton S. P. R. F. C.

1st April 2009 at 7-00pm for 7.30pm

 

 

Present :  The Chairman, Committee and 9 members.

 

Apologies: Greg Cooper,Roger Young, Ken Tweedie & Chris Crowley.

 

1.       Chairmans Welcome

 

     The Chairman welcomed all present.   

A minutes silence was held in memory of Ray Woodman who passed away in 2008 after a long, brave fight.

 

2.       2008 A.G.M. Minutes   

     

The minutes of 2008 A.G.M. were distributed and read and as no objections were received, were accepted.

           Proposed by Mally Brooke  

Seconded by Doug Ransome. 

      

3.       The Chairman's Report

    

As it had been anticipated that the Chairman might not have been available for    the A.G.M. Vice  Chairman, Mally Brooke read the report.

As a rule there have always been at least 6 events on the Buccs calendar during the course of a year and the past year was no exception.

The V.C. remarked that the West Coast golf tour at the end of Feb 2008 was

well organized by M.D. and well attended. Accommodation was

wonderful and even the golf was exceptional.   

The A.G.M. was early March with, as usual, a strong focus on the 2 Oceans

           Ultra marathon run which followed towards the end of March. Note was made

           of the fact that we managed to have, on the day, sufficient manpower which

           is always a concern.

  The Christmas Dinner was very successful and well attended and brought

           together many who had been out of circulation. Well done Dougie Ransom

           for organizing. Regretfully we had the very sad passing of Ray Woodman

           who has endured his illness for several years but ultimately succumbed in

           July.

           Of course no Buccaneers year is complete without the Darts competition in   

       November, won by Martin Beach and organized by the peerless Mally   

Brooke. A good turnout and a good night.   

           The Buccs Golf Day on December 16th at Milnerton was a great success.

           Another feather in the cap of M.D. !

 

4.       Treasurers Report       

          

           D. W. reported that there was little activity on the account and also little

           activity in the way of income/donations,

           mainly i.r.o. 2 Oceans and ticket sales to the tune of R4,500.

           Expenses amounted to R1,994 leaving a surplus of R2506 for the year.

           The balance sheet reflected a reduced value of R6484 i.r.o. the Buccs

           unit trust funds as at 28/02/2009 (down from R9701 for 2008).

           Current assets of cash at bank and unit trusts total R10,943. There are no

           liabilities.

  

During the course of the year we closed the Buccs current account with 

           Standard Bank which was costing far more then was being earned.

           The Buccs now have a money market account which has banking facilities

           attached to it, if required. There is a flat monthly fee of R25.00 which is more

           then met by the interest earned.

 

          The accounts were proposed by Dave Gregory and seconded by Chris Prentice

   

5.       Nomination of Office Bearer

  

           All existing office bearers were prepared to stand again and as there were no

           other nominees all were duly elected by a unanimous show of hands from the

           members present.

 

          The Chairman welcomed those elected. Committee as follows:-

6.       Bruce Little /Judge

 

As is now well known Judgie lost his right lower leg to diabetes and in view of

his substantial medical expenses, current and future, Steve Ray and

Hammies have put together a number of events to generate funds. At the

moment we believe that the sum stands in the region of  R82,000.

The Buccs have been collecting funds and are near to our target of R10,000.

If there is a shortfall then this can be made up from Buccs Funds, as proposed by Dave Gregory.

As the overall target is R150,000 clearly any further contribution is welcome.

7.      Website - Maintenance

 

M.D. & D.M. explained that the Buccs Website has been a great boon for Buccs around the world to get in touch with each other and re-form old friendships. It has also been a great advert for the Buccs and, indirectly, Hammies and has generated a lot of attention, one way or another.

 

However, as successful as it has been, is by no small co-incidence due to the enthusiasm and effort of Neil Swanson, our very own Web Master.

For most of the last 2 years Swanie was a man of leisure and donated his time as and when required. Now that he has acquired a business this is no longer the case and so the Buccs are very happy to let you know that Dave Gregory has offered to take over this role and is, we feel, very well suited for it. Swanie and Dave are to meet shortly for Dave to be shown the ropes.

 

 

8.              Forthcoming Events

 

i)       The 2 Oceans Ultra marathon is of course our annual "biggie" and

       once again Steve Jenkins is our man in charge.

          S.J. estimated that over the years this event has raised in the region of  

         R70 - R80,000 for the Buccs from various sponsors and, apart from

         the sporting connection, is also a great social occasion. This is just as

         well because this year for a variety of reasons, there is no sponsorship

         and so is doubly ironic that the Buccs table is the only non-corporate

         site left in the event.

         This brings us to the next point which is that without sponsorship the

         Buccs cannot this year rely on outside help on the table and so need

         as many Buccs as possible to be there on the day. If we are seriously

         short of man - power and embarrass ourselves there is a very good

         chance we will lose our table !

         The Buccs table is one of the longest serving sites run by one group,

                     without a break and since there is every chance of sponsorship in  

                     future years it is definitely in our interests to do our best and with as

                     much help as possible !

                     Red Rugby shirts will be available and black shorts you should bring

                      yourselves.

                     M.D. to bring banners and will also supply boerewors and rolls for a 

                      small charge.

                     Everyone bring own skottles, braai�s and booze.

                     As S.J. said this year we're on our own but grin and bear with it, it will

be fun!  

 

ii)         For the "Christmas Dinner" D.R.  again suggested the

             Met. Golf Club and we should consider either the 25th / 26th June or a  

             week later.

                     There might be extra people from the Lions tour but Dougie to obtain

                     an estimate and tentative booking and report.

 

     iii)   For the Lions Tour it still looks extremely difficult to obtain tickets unless 

                     you wish to spend a lot of money.

                     As an aside M.D. did state he is prepared to pay the up front costs of

                     providing a Buccs / Lions Golf Shirt of good quality and will make  

                     enquiries for costs, etc,

              

                     The suggestion is that for locals, shirts would be at cost,  R300.00 and

                    at cost and small premium for tourists with whom we think the shirt

                    should be popular.

                     C.P. suggested trying via the website to establish how many tourists   

                     might wish to visit Hammies / Buccs and buy a shirt ?!

                     M.D. to report back on costs, design, availability, etc.

 

iv)   M.B. to organize the end of year dart tournament as usual.

                     M.D. suggested could arrange dart games at Old Mutual and he would 

                     report back on this.
